Role Overview
As the Executive Assistant to the Leadership Team, you will provide high-level administrative support to ensure smooth team operations. You will manage both personal and professional tasks for leadership, organize travel, schedule meetings, and streamline communications. You will collaborate with other assistants to distribute tasks, allowing the leadership team to focus on key strategic priorities and critical projects.
Impact
In this role, you will be instrumental in increasing the leadership team’s efficiency by handling key tasks, managing schedules, and facilitating communication. Your support will enable the team to focus on high-priority goals, ensuring organizational success and on-time project delivery.
Responsibilities
- Provide comprehensive support to all leadership members, managing both personal and work-related tasks.
- Collaborate with current assistants to redistribute tasks as necessary, based on language skills and expertise.
- Organize travel logistics, including flights, accommodations, and itineraries, ensuring a seamless travel experience for leadership.
- Schedule and coordinate meetings, prepare agendas, and assist with follow-up tasks.
- Act as the primary point of contact between the leadership team and other departments, ensuring effective communication.
- Help prioritize tasks for the leadership team, focusing on deadlines and strategic goals.
- Track the progress of ongoing projects to ensure timelines are met.
Requirements
Skills & Qualifications
- Fluency in English
- Spanish and/or Russian proficiency
- Previous experience as an Executive Assistant or in a similar administrative support role, ideally supporting senior leadership teams.
- Proven ability to manage complex calendars, meetings, and travel logistics.
- Experience collaborating with cross-functional teams.
- Strong project management skills, with the ability to juggle multiple tasks and deadlines.
Nice to Have
- Fluency in both Spanish and Russian
- Experience managing both personal and professional tasks for executives
