Full Job Description
As our Remote Virtual Assistant, you will provide essential administrative support, ensuring seamless communication and organization. You will work closely with our leadership team and various departments to maintain efficient operations. The ideal candidate is self-motivated, tech-savvy, and able to handle multiple priorities while maintaining professionalism and discretion.
Key Responsibilities
Executive & Administrative Support:
- Calendar Management: Coordinate appointments, meetings, and travel arrangements for senior executives.
- Email & Communication: Organize and respond to emails, prioritize tasks, and ensure timely responses.
- Document Preparation: Assist in creating presentations, reports, spreadsheets, and documents to support team projects.
- Data Entry & Organization: Maintain databases and internal systems with accuracy.
Customer Service & Client Relations:
- Serve as the first point of contact for client inquiries via email, live chat, and phone, providing exceptional customer support.
- Handle customer issues professionally, escalating matters as needed to ensure satisfaction.
- Maintain detailed records of client interactions and ensure efficient follow-ups.
Project Coordination & Task Management:
- Track progress on key projects, meet deadlines, and coordinate communication between departments.
- Schedule team meetings, prepare agendas, and manage follow-up action items.
- Support special projects by conducting research and providing timely updates.
Research & Reporting:
- Conduct market research, competitor analysis, and other ad hoc research to support business development.
- Compile data and create reports that aid decision-making processes.
Social Media & Content Assistance:
- Assist in managing social media accounts, including content scheduling, basic post creation, and responding to engagement.
- Monitor online presence and suggest ways to improve visibility and interaction.
Qualifications
Experience & Skills:
- Proven Experience: 2+ years as a Virtual Assistant, Executive Assistant, or similar remote administrative role.
- Tech Proficiency: Mastery of tools such as Google Workspace, Microsoft Office, and project management software (Asana, Trello, Slack, etc.).
- Communication Excellence: Strong written and verbal communication skills, with the ability to convey information clearly.
- Organization & Multitasking: Excellent organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Problem-Solving Mindset: Ability to identify and solve problems quickly, anticipating needs before they arise.

Education: Undergraduate degree (Preferred)
