We’re growing fast, and we’re looking for a Part-Time Administrative Assistant to work directly with our CEO and team. You’ll help organize our internal operations, manage key tasks and projects, and ensure nothing falls through the cracks. This is a critical role that frees up the CEO to stay in strategy mode — and helps TacticalFBA grow faster and smarter.

Your Mission

As an Administrative Assistant, you’ll eliminate pressure and noise for the CEO by taking ownership of daily ops, admin tasks, and follow-through. As part of your role, you’ll manage the CEOs email and calendar. You’ll also learn our business processes, help document SOPs, systematize recurring tasks, and manage the team’s project plan. Ultimately, you’ll be the glue between projects, our team and clients, and tracking priorities. This role requires a mix of administrative support, customer service, problem-solving, and Amazon marketplace knowledge.

Key Responsibilities

Administrative & Executive Support

  • Manage CEO’s inbox, calendar, meeting scheduling, and travel arrangements
  • Prep for and follow up on meetings, ensuring key tasks are tracked and completed
  • Track expenses, organize digital files, and maintain clean internal documentation (Google Drive, Notion, Monday, etc.)
  • Assist with email follow-ups, light research, and internal reporting

Project & Process Management

  • Help manage timelines, deliverables, and accountability across internal and client-facing projects
  • Document SOPs for repeatable processes as the business scales
  • Track internal tasks, client requests, and workflows using Monday project management tools
  • Help implement our TacticalFBA planning cadence to keep the team aligned

Operations Support (E-commerce / Amazon-Focused)

  • Assist in preparing state sales tax/VAT returns, pulling Amazon/Shopify reports, and updating key dashboards
  • Track inventory, shipments, and coordinate with logistics partners (Amazon AWD and FBA, freight forwarders, etc.)
  • Identify and resolve common issues related to Amazon Seller Central (FBA fees, listing changes, and account health)
  • Support client onboarding, affiliate program tracking, or reimbursement claims as needed
  • Cross-training to assist with customer service tasks as needed

  • Process Driven: Love documenting processes, spotting inefficiencies, and turning “loose ends” into neat systems
  • E-commerce Knowledge: Are curious about ecommerce and excited to learn the inner workings of high-revenue Amazon brands. Experience with Amazon Seller Central is a huge plus.
  • Tech-Savvy: Comfortable using project management tools (like Notion and Monday), Google Suite tools like docs and spreadsheets (with emphasis on being able to manage intermediate formulas), and communication platforms like Slack or Zoom…or the ability to learn and pick them up quickly
  • Jack or Jill of All Trades: Thrive in a fast-paced, remote-first startup culture with lots of variety and autonomy

Requirements

  • 2+ years in an Executive Assistant, Operations Coordinator, or similar role (bonus if in ecommerce/Amazon)
  • High attention to detail with an ability to juggle multiple moving parts without dropping the ball
  • Strong working knowledge of Google Workspace, Project management tools like Monday / Notion, Slack, and Zoom
  • Solid math and data literacy for reviewing basic reports (revenue, margin, inventory, etc.)
  • Comfortable working independently in a remote role (U.S. time zone overlap required)
  • Strong internet, computer setup, and quiet home office environment
  • Bonus Points If You Have:
  • Familiarity with Amazon Seller Central or Shopify
  • Experience creating SOPs and building operations infrastructure
  • Worked in a startup or digital agency environment
  • A get-it-done attitude and a bit of a Type A personality

This role will start out with a 90-day trial.
